Use this after a customer has agreed to start using a product or service. The fictional team wants its first weekly report ready, but access setup still needs a customer-side owner.
Customer onboarding · Reporting workspace
First useful outcome
The customer wants to prepare the first weekly operations report in the new workspace.
People & responsibilities
Alex is the day-to-day customer contact. Priya owns onboarding support. Customer access administrator: not named.
Setup requirements
The workspace needs approved member access and a redacted sample report. Both are pending.
Success check
Review whether Alex can prepare one weekly report using the workspace. No time-saving target was agreed.
Risks & dependencies
Access approval may delay setup. The customer must confirm which sample report can be shared.
Next steps
Priya will send the setup checklist today. Alex will identify the access administrator by Wednesday.

Keep the useful structure.
Each field earns its place. Use the prompts as reminders, then replace them with your own meeting evidence.
First useful outcome
Describe what the customer wants to accomplish first. Distinguish this from an internal activation metric or a list of product features.
People & responsibilities
Record the sponsor, day-to-day owner, and setup responsibilities only when established. Surface gaps in ownership early.
Setup requirements
List prerequisites and whether each is actually available. Never include credentials, tokens, or secrets in the notes.
Success check
Agree what evidence demonstrates the first outcome. Avoid promising improvement metrics that were not measured or discussed.
Risks & dependencies
Explain what might block progress and who can resolve it. Keep policy or security questions open until the appropriate owner answers.
Next steps
Record accepted actions with dates as stated. Keep an onboarding target conditional on unresolved prerequisites.

Make it part of the meeting.
Before · reconcile the handoff
Review the customer’s agreed outcome and commitments from sales or delivery. Flag any promise that is unclear before repeating it in the kickoff.
During · name the dependencies
Walk through the first-use path and identify who can unblock each prerequisite. Avoid collecting credentials in a meeting note; use your approved secure setup process.
After · check the first outcome
Follow up on the agreed evidence of success, not just whether setup emails were sent. Update responsibilities as the customer identifies the right people.
What to watch for
- Equating an account creation event with customer success.
- Promising a go-live date before access prerequisites are ready.
- Putting credentials or sensitive customer samples into a broadly shared note.

A few useful answers.
Practical details before you use this resource.
What if the sales handoff is incomplete?
Mark the missing information and confirm it with the relevant owner and customer. Do not reconstruct commercial commitments from an optimistic summary or a product demo.
Should I record a go-live date?
Record a date if it was agreed, together with its assumptions. When prerequisites remain unresolved, label the date as a target and state what must happen before it can be confirmed.
Keep the work moving.
